Terms of Service

Effective 24 September 2026 · Version 2026-09-23-b2b-production-v1

1. The service and operator

SiteHQ is a business-to-business cloud construction management platform operated by Stripout London Ltd (company number 13654607), 30 Great North Road, Brookmans Park, Hatfield, Hertfordshire AL9 6NF. It is supplied only to organisations and people acting for business purposes, not as a consumer service. SiteHQ provides project, document, commercial and AI-assisted workflow tools.

By creating an account or using SiteHQ, you agree to these terms and the version of our Privacy Policy presented to you for acceptance.

2. Your account

You must be at least 18 and authorised to act for your organisation. You are responsible for your account security, authorised users and activity in your workspace. Do not share authentication credentials.

3. Plans, checkout and billing

Site HQ Free: £0. One authenticated workspace seat, one active project and ten AI units each month. No payment card is required.

Site HQ Business: £195 plus VAT each month. Five seats, five active projects, ten archived projects, 250 AI units, 25 GiB storage and 2,500 operational units each month.

Site HQ Enterprise: £495 plus VAT each month. Twenty seats, twenty-five active projects, one hundred archived projects, 1,000 AI units, 100 GiB storage and 10,000 operational units each month.

Paid subscriptions are monthly and renew automatically until cancelled. They can be purchased through self-service Stripe Checkout. Stripe collects payment details; SiteHQ does not store full card details. Your subscription and invoices can be managed through the authenticated Stripe Customer Portal opened from SiteHQ.

Checkout and the Customer Portal show the amount, billing interval, VAT treatment, effective date and any prorated amount before confirmation. A plan upgrade may take effect immediately with the displayed proration. A downgrade normally takes effect at the next renewal unless the Portal expressly shows another effective date. Existing customer records are preserved after a downgrade, but new activity above the lower allowance may be restricted.

If payment fails, Stripe may retry the payment and SiteHQ may restrict paid allowances while the subscription is past due or unpaid. Paid access is restored only after payment and subscription state are successfully reconciled. Except where law requires otherwise, fees already charged are non-refundable and no credit is provided for a partial period. We will correct a duplicate or erroneous charge confirmed by SiteHQ or Stripe.

AI and operational units follow the published consumption schedule and are not unlimited. Reaching an allowance pauses further limited use until capacity is released, the allowance resets or the subscription changes. It does not create an automatic extra charge.

4. Cancellation and workspace closure

An authorised billing user may manage or cancel a paid subscription in the Stripe Customer Portal. Standard self-service cancellation takes effect at the end of the current paid period, and paid allowances remain available until that date while the subscription remains in good standing. If the Portal offers immediate cancellation, it must display that immediate effective date and any financial effect before confirmation. Cancelling billing does not itself close the workspace or delete its data.

An authorised workspace owner may separately request workspace closure from account settings. A request starts identity and scope checks; it is not immediate closure, billing cancellation or deletion. Following confirmed closure, the standard export window is 30 days and the standard retention period is three months, subject to the Privacy Policy and any longer minimum period required by law.

5. Your content

Your organisation retains ownership of the data and content it uploads or creates. You grant Stripout London Ltd the limited rights needed to host, process, secure, back up and present that content to provide SiteHQ and meet legal obligations.

6. AI-assisted output and construction safety

AI-assisted documents and recommendations are working drafts. They may be incomplete or inaccurate and require human review.

You remain responsible for checking and approving outputs before use. RAMS, construction phase plans, method statements, risk assessments and other health and safety material must be reviewed by a competent person for the actual project and site. SiteHQ does not accept the role of principal designer, principal contractor, CDM adviser or health and safety consultant merely by providing the service.

7. Acceptable use

You must not use SiteHQ unlawfully, interfere with its security or availability, upload malicious material, infringe another person's rights, attempt unauthorised access, or represent unreviewed AI output as professionally approved.

8. Support and availability

Support and outage response are handled in-house by SiteHQ. The team may use AI-assisted tools under human oversight to diagnose issues and prepare responses. We aim to keep the service available and communicate planned maintenance where practical, but these terms do not promise an uptime or response-time service level.

9. Suspension and termination

We may restrict or suspend access where reasonably necessary to protect users or the service, investigate suspected unlawful use or a material breach, or respond to unpaid charges. We will give notice where reasonably practical and lawful. Ending access does not remove accrued payment obligations or the rights and duties intended to continue after termination.

10. Liability

To the maximum extent permitted by law, our total liability arising from the service is limited to the subscription fees paid by you in the 12 months before the event giving rise to the claim. We are not liable for indirect or consequential loss, loss of profit or loss caused by using unreviewed AI-assisted output.

Nothing in these terms limits liability that cannot lawfully be limited, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.

11. Policy versions and changes

SiteHQ records the terms and privacy versions accepted during onboarding. We will identify new versions and their effective date. Where a material change requires renewed agreement, we will present it for acceptance before the affected use continues. Editorial corrections that do not change your rights or obligations may take effect when published.

12. Law and contact

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
